How to View Student Assessment History in the School View in Aspen

How to View Student Assessment History in the School View

YOU CAN DOWNLOAD A PDF OF THIS DOCUMENT TO PRINT OUT OR SAVE TO GOOGLE DRIVE.

  1. From the School View in Aspen do the following:
  • Click on the Assessments top tab
  • Click the Assessment History side tab
  • NOTE: YOU WILL NEED TO CLICK ON STUDENT ASSESSMENT SIDE TAB TO VIEW ASSESSMENT HISTORY.

2. Select the appropriate Assessment Definition by clicking the pick list icon. In this example we are choosing the Local Assessments definition.

Click on the pick list icon and search for the Local Assessment definition.  Choose the Local Assessments option and click the OK button.

We have assessment definitions for the following:
  • Local Assessments
  • SRSS (Conduct)
  • Running Records
  • PARCC (coming soon)

3. First make sure you select the appropriate field set in Aspen. This allows you to view the information with the appropriate columns. It should match the assessment definition you picked.

















Now you need to determine what you’d like to filter down to, or query. You can use the query tool in Aspen or one of the already created filters.

You will most likely need to access the spreadsheet that contains the local assessment information to search by name, date, etcetera. You can access that here:

You can also use the filter tool to quickly search for data based on the listed criteria.

4. Often you’ll want to query the information for a specific purpose. You can create a query by doing the following:

  • Click options.
  • Drag to Query
  • Click the Sort A-Z button
  • Locate the field you want to use in your search. In this case I’m looking for the NameOfAssignment field to find any assessment with the name of “Rates & Ratios”. Click the search button.

Your data will be displayed based on your search. Once your data has been narrowed down you can build some visualization charts to review the data.

5. You can create a chart by doing the following:

  • Click on chart icon.
  • Drag to one of the chart types
  • Select the field you would like to chart
  • A PDF document will be created
6. Select the field you would like to chart. In this case we will review the Score.




























7. When you click the OK button in the previous step a PDF will be created. You can save the PDF file in Google Drive, and share with others to review the data.

Please review some of these screenshots to assist you with your local assessment entry in Aspen.

Make sure you change the Date Range options! If you keep the selected Date Range of 09/01/2015 - 06/17/2016 Aspen will want to load all of the assessments that your students have in the system. This will take an inordinate amount of time to load. CHANGE THE DATE RANGE.



Once you've changed your date range to include a single date (duplicate the same date in both fields) you should choose the Assessment Definition. Click on the picklist icon to select the correct assessment. In this case you will choose the Local Assessment definition.



CHANGE THE FIELD SET NEXT: Once you've selected your assessment definition you should change the filed set to match your assessment definition. This will change the columns that are viewable on the page.



It will look something like this:



Now you can choose your students by clicking the select students option. You will need to choose from the following options. I usually choose students in my classes, or students by section.



Click OK, and your students will be displayed for that single assessment. Now you can input your local assessment scores.

I would like to remind everyone to enter their local assessment data into Aspen. This data is utilized for district purposes as well as your own instructional reasons. We use this data for:

  • Identifying potential at-risk students
  • RtI purposes
  • Student Placement regarding schedules
  • Student Profile Report
  • PLP Data & Report


This data is used in our Early Warning System or At Risk System in Aspen. The local assessment data, and any other assessment data (running records) is used to help identify students that may be at academic risk. We also this information for student placement purposes alongside other data points that are kept in Aspen.

Please make sure that you follow the directions to add your local assessment data. You can find those directions here. You can also use the document Local Assessment Assignment Names & Dates to help you pick the appropriate assessment filtered by date.

In the last year alone we have seen an explosion in the number of visitors finding their way to the West Warwick Public Schools. We have had visitors from nearby districts, and from across the country. In an effort to provide the right supports to students and our employees Superintendent Tarasevich would like school employees to fill-out the following form whenever a visitor or presenter is coming to a WWPS school. This form will keep central office apprised of the good work taking place in the schools, and allow us to support your work. It really is a wonderful problem to have, and is directly related to the incredible teaching and learning taking place across the district. This form doesn't negate your responsibility to clear all visitors with building principals so please make sure they are in the communication loop. Thanks for your cooperation regarding this request.

Frequently Asked Questions Regarding Original Email to Staff

Q: Should I fill-out the form for past visitors?

A: It's not necessary to fill-out the form for past visitors, but the information will be helpful to have on hand. We will leave that completely up to you to decide.

Q: Does this pertain to parent volunteers/visitors or volunteers that visit my classroom on a regular basis?

A: No, you do not need to fill-out the form for parent volunteers or parent visitors. It is also not necessary to fill-out the form for classroom volunteers. Classroom volunteers have already gone through an approval process.

Q: Do teachers still have to go through their building level principal as the first step in the process for getting approval for a visitor or presenter?

A: Absolutely. Teachers should include the principal in the early stages of the discussion process. Teachers can fill-out the form, and their principal will get alerted to the request. Teachers should proceed to have a face to face discussion with their principal regarding the request.

We have purchased some resources called "Lightboxes" from Follett. They are located in the digital bookshelf for teachers and students. These materials are a multimedia self-contained resource that can be used as a mini-unit or support a deeper unit of study. We just received these materials, and they've been placed in your schools Follett Bookshelf. You can use the directions from Kristen Mitchell to access those materials.

There is a Lightbox on MLK that you can use if you so choose.

The library has acquired 29 Lightbox ebooks.  They incorporate videos, Google Maps, worksheets, audio, quizzes and other interactive features.  Multiple students can use them at the same time.
